Overview of the change
Microsoft has announced a planned update to the integration between Outlook and Microsoft Teams. Currently, if a user wants to schedule a meeting within a specific Teams channel—a shared space for specific projects or departments—they typically need to use the Teams application. The upcoming change will allow users to select a channel directly when creating an entry in their Outlook calendar.
How channel meetings function
A channel meeting differs from a standard private meeting. When a meeting is scheduled in a channel, it is visible to every member of that team. The recording, chat history, and shared files are automatically saved within the channel's conversation thread. This helps keep project-related information in one place rather than scattered across individual email inboxes or private chat histories.
Timeline and availability
The roadmap indicates a General Availability date of October 2026. This is a long-term projection, and Microsoft frequently adjusts these dates based on development progress. We do not yet have information regarding whether this will be available on all subscription tiers, though it is expected to be a standard feature for Microsoft 365 Business builds.
Practical implications for small businesses
For many UK small businesses, Outlook remains the primary tool for time management, while Teams is used for internal communication. This update removes the requirement to jump between two different interfaces to ensure a meeting is filed in the correct project channel. It reduces the likelihood of meetings being created as private sessions when they were intended for a wider team.
