Teams meetings: the basics that avoid awkward starts
Schedule a meeting, invite external guests, share your screen and fix the classic no-audio problem.

Scheduling
- 1In Teams, go to Calendar and choose New meeting — or in Outlook, use the Teams Meeting button.
- 2Add attendees, including external email addresses; they can join in a browser without a Teams account.
- 3Use Scheduling Assistant to find a slot that works for colleagues.
- 4Send. The join link is included.
Sharing your screen
Click Share, then choose a single window rather than your whole desktop. Tick 'Include computer sound' if you're playing a video. Sharing one window means nobody sees your inbox notifications.
Nobody can hear you
- 1Check the obvious mute button in the Teams bar.
- 2Check the physical mute switch on your headset.
- 3In Teams, go to Settings > Devices and confirm the right microphone and speaker are selected — a docked laptop often defaults to the monitor.
- 4Make a test call from Settings > Devices > Make a test call.
