Shared mailboxes done right
Why info@ and accounts@ should be shared mailboxes rather than logins everyone knows the password to.

The common bad setup is a generic mailbox with one password that four people know, no MFA and no way of telling who did what. Shared mailboxes fix all three problems and are free — they don't need their own licence.
- Each person signs in as themselves and the shared mailbox simply appears in their Outlook.
- Replies can be sent as the shared address so customers see info@, not a personal name.
- Everyone sees the same sent items and history.
- Access is granted and removed per person, so a leaver loses it immediately.
Shared mailbox or distribution list?
- Shared mailbox — when replies need to come from the shared address and the history matters. Best for enquiries, accounts and support addresses.
- Distribution list — when mail just needs copying to a group of people who reply from their own address.
